Motion AI vs YourPaz — What European professionals actually need

Motion auto-schedules your calendar. YourPaz gives you control and calm. An honest comparison for European knowledge workers who care about privacy and execution.

Joris van der Zwaard · YourPaz

Two different philosophies about how AI should help you work

Motion and YourPaz both claim to solve the same problem: you have too many tasks, not enough time, and no clear answer to "what should I do right now?"

But they solve it in fundamentally different ways — and which one fits you depends on how you think about control, flexibility, and where your data should live.

This isn't a "one is better" comparison. It's an honest breakdown of two different philosophies, so you can make a real decision.

What Motion does

Motion is an AI-powered calendar scheduler. You add tasks with durations and deadlines, and Motion automatically slots them into your calendar — filling gaps around your meetings, adjusting dynamically as your day changes.

The pitch is compelling: stop deciding when to do things. Just put tasks in, and Motion figures out the optimal schedule. It integrates with Google Calendar and Outlook, and pulls in meetings automatically.

For some people, this is exactly what they need. It removes the daily planning overhead completely.

Motion is at its best when:

  • You have a relatively predictable calendar with lots of meetings
  • You trust AI to decide when you should do what
  • You want your task scheduling to be automatic and hands-off
  • You're okay with rigid blocks in your calendar

Where Motion creates friction

Motion's auto-scheduling approach has a few real-world limitations that users regularly report:

Hyperfocus and "not in the mood" moments. ADHD researchers and productivity coaches both note that rigid scheduling — "you should be doing X right now" — can trigger avoidance behaviour, especially for knowledge workers and creatives. The block exists; you don't want to be in it; you feel behind before you've started.

Rescheduling cascades. When something slips (and things always slip), Motion reschedules everything downstream. This can feel chaotic, especially for consultants and freelancers whose clients have fixed deadlines.

No notes, no knowledge base. Motion is a scheduling engine, not a workspace. Your tasks are scheduled, but there's nowhere to put the context around them — the notes, decisions, email threads, and meeting summaries that explain why a task exists.

Price. Motion costs $34/month for individuals ($19/month billed annually). For a personal productivity tool, that's at the higher end.

Privacy. Motion is a US company headquartered in San Francisco. Your calendar data, tasks, and meeting information are stored on US servers and subject to US law including the CLOUD Act. For European professionals handling client data, this is a genuine compliance question.

What YourPaz does

YourPaz doesn't auto-schedule your calendar. Instead, it gives you an AI that helps you decide what to focus on — and then gets out of your way while you do it.

The core is the AI morning briefing: every morning, you get a personalised overview of what's on your calendar, which tasks are genuinely urgent, whether your day is realistically schedulable, and the one thing to start with. It takes 60 seconds to read. You stay in control of your schedule; the AI informs your decisions rather than making them for you.

Beyond the briefing, YourPaz is a full workspace: tasks, notes, projects (Kanban/Gantt), focus mode, email triage, meeting notes with action tables, and time tracking — all in one place.

YourPaz is at its best when:

  • You want AI guidance without surrendering calendar control
  • You need tasks, notes, projects and email in one workspace
  • You work across multiple clients or areas of life (workspaces)
  • You want EU hosting and GDPR compliance
  • You have ADHD or mental overload and need calm, not complexity

The privacy question

This deserves its own section, because for European professionals it's not optional.

Motion is a US company. Under the CLOUD Act (2018), US law enforcement can compel US companies to hand over data stored anywhere in the world — including on European servers. Your calendar, task list, and meeting data stored with Motion is accessible under US legal frameworks regardless of where it's physically hosted.

If you're a consultant, lawyer, HR professional, or executive handling commercially sensitive client information, this is a compliance consideration that your clients may raise.

YourPaz is a Dutch company, running entirely on EU infrastructure. Dutch data protection law, GDPR by design, AI processing via Mistral AI (France) — or local Ollama if you want full Privacy Max mode. Your content is never used to train AI models. A Data Processing Agreement is available on request.

Who should use Motion

Motion is the right choice if you want AI to fully take over your scheduling and you're comfortable with that level of automation. It's particularly well suited to professionals with dense, meeting-heavy calendars who want to stop thinking about when to do things.

If auto-scheduling resonates — and you're not constrained by European data residency requirements — Motion is genuinely impressive.

Who should use YourPaz

YourPaz is the right choice if you want AI that informs your decisions without replacing them. It's better suited to:

  • Consultants and freelancers who manage multiple clients (workspaces per client)
  • Professionals with ADHD or mental overload who need calm, not more automation
  • Anyone who needs tasks, notes, projects and email in one place
  • European professionals who need EU hosting for compliance or preference
  • People who want a sustainable daily system rather than a fully automated calendar

The honest bottom line

Motion does one thing — auto-scheduling — exceptionally well. If that one thing is your problem, it solves it.

YourPaz does more things, with a human in control. If you want AI as a co-pilot rather than an autopilot, and you want your whole work life in one calm workspace that stays in Europe, that's what YourPaz is.

Neither tool is for everyone. But if you're reading this from the Netherlands, Belgium, Germany, or France and you need to explain your tool stack to a client, the answer might already be clear.
